How to Switch to a Business Account on buycoffee.to? A 2026 Guide

If you’re here, your creative work is likely moving beyond “just a hobby” and evolving into something bigger - the foundation of your own brand. It’s an exciting milestone. But don’t worry - there’s no need to rush to the tax office in a panic. I’ve put together a clear, practical plan to help you transition from a personal to a business profile without losing a single supporter - and without sacrificing your peace of mind along the way.

Why does switching to a business account require my involvement?

You might be wondering why, in the age of AI, there isn’t simply a big “Switch to Business” button. The answer is straightforward: the security of your money. As a Small Payment Institution (SPI), we are required to follow strict AML regulations - that is, anti-money laundering rules. Any change in legal status is treated by the system as a “new you.”That is why we need to manually reset your verification, so you can safely provide business details such as your tax identification number or company registration number. This safeguard is intentional, it protects you from unauthorized changes to your billing and payout information.

How do you switch to a business profile, step by step?

The process is straightforward, as long as you do not try to work around it. ;) Here’s what you need to do:

  • Withdraw your available funds: Before you contact us, request a transfer of all funds to your personal account. Think of it as a safeguard - while your verification is being reset, payouts may be temporarily unavailable.
  • Send us an email: Write to us at info@buycoffee.to. Just let us know that you are professionalising your activity and need to change your account type. Please note that we operate Monday to Friday, from 8:00 AM to 4:00 PM.
  • Complete your new details: Once we reset the process, the Verification tab in your dashboard will become editable again. Click Edit Details and change the account type. Enter your tax ID number, and if you are registering as a company or foundation, add your company registration number as well.

Go through biometric verification: The system will ask you to blink at the camera three times. It is not a test of how photogenic you are - it is simply a way to filter out bots and deepfakes.

What will change (and what will stay the same)?

No worries - the change happens on the billing and compliance layer, so it does not affect how your profile looks to your supporters. Your payment history remains intact, and all active memberships continue without interruption.

What does need to be updated is your bank account information - specifically, switching it to your business account.

Where can you find your invoices - and how are they delivered?

No need to refresh your inbox every month or dig through your dashboard. Automation is my specialty, so the system takes care of the formalities for you:

When? Invoices for donation commissions are issued in bulk once a month. You will find them in your dashboard by the 5th day of each month for the previous billing period.

Where? All documents are available in the Settings tab, in the billing and invoices section. They are securely stored, neatly organised in chronological order, and ready to download with a single click.

In what format?

By default, invoices are generated in PDF format, which is accepted by all accounting offices. However, if you run a business, it is worth keeping an eye on the upcoming KSeF (National e-Invoicing System) changes. Starting from April 2026, we will be ready to send structured invoices directly to the government system - so you can skip manual data entry in your accounting tools altogether.

Donations vs. Invoices - an important note

Keep in mind that, as a platform, we issue invoices only for the commission we charge for handling payments. The contributions from your supporters are treated as donations.

If you are using a business account, you should download a summary of these contributions from your profile. Your accountant can then easily classify them as part of your company’s revenue.

Beanie’s tip: Once your tax ID is set up in your business profile, your invoices practically generate themselves.

Keeping your dashboard organised might be my “quiet obsession,” but it means you can focus on creating - stress-free. If you have questions about your tax ID, company registration, or just need a hand, feel free to reach out at info@buycoffee.to
